Staff Conduct & Professional Standards Policy
1.Purpose
This policy exists to ensure:
  • Professional standards
  • Consistent behaviour
  • High-quality teaching/service delivery
  • Accountability
  • Operational excellence
  • Positive reputation of the organisation
  • All staff must follow this policy at all times while representing the organisation.

2.Professional Appearance & Uniform
Uniform Rules:
  • Staff must wear the provided uniform during all working hours
  • Uniform must be clean, presentable, and complete
  • Uniform must not be replaced by personal clothing
  • Uniform must be worn properly (not modified or altered)
  • Name badge must be worn at all times while on duty
Enforcement:
  • Not wearing uniform = penalty of -30 minutes from hourly wage
  • Staff may be removed from duties until compliant
  • Repeated breaches will follow disciplinary procedure

3.Arrival Time & Class Preparation
Mandatory Arrival Rule:
  • Staff must arrive minimum 10 minutes before class start time
  • Staff must be fully prepared before class begins
Late Start Rule:
  • Starting a class late due to personal lateness or preparation = penalty of -30 minutes from hourly wage
  • Repeated lateness will result in disciplinary action

4.Homework Policy (Mandatory)
All staff must:
  • Give homework at the end of every lesson (where applicable)
  • Clearly explain the homework to students
  • Add homework to Alfa CRM after the lesson
  • Check homework at the next lesson
  • Failure to follow this process is considered misconduct and operational negligence.

5.Student Introduction & Safeguarding Culture
Staff must:
  • Introduce themselves to all new children
This includes:
  • Trial class students
  • New students joining existing classes
  • Create a welcoming, safe, and professional environment

6.Weekly Projects Policy (Mandatory Digital Record System)
All staff must:
  • Add weekly projects to each child’s folder
Project Upload Rules:
Accepted formats ONLY:
  • PDF
  • JPG
  • Screen recording
  • No other formats permitted
Folder Compliance:
  • All folders are checked weekly
If a child does not have the previous week’s project uploaded:
  • A penalty will be incurred by the responsible staff member
  • Repeated failures lead to disciplinary action

7.Professional Behaviour Standards
Staff must:
  • Act professionally at all times
  • Follow all organisational rules
  • Follow instructions from management
  • Maintain respectful communication
  • Be punctual and reliable
  • Use phones only during permitted times
  • Follow safeguarding, safety, and operational policies
  • Represent the organisation positively

8.Rule Compliance
Failure to follow any operational rule, system, or procedure is considered misconduct.
This includes:
  • Uniform policy
  • Arrival policy
  • Homework policy
  • Alfa CRM usage
  • Project uploads
  • Folder management
  • Student engagement rules
  • Behaviour standards

9.Disciplinary Procedure (Progressive System)
  • Informal reminder
  • Formal verbal warning (recorded)
  • Written warning
  • Final written warning
  • Disciplinary action:
  • Shift reduction
  • Loss of privileges
  • Probation
  • Suspension
  • Termination

10.Accountability System
Management has the authority to:
  • Apply penalties
  • Enforce wage deductions as stated
  • Apply disciplinary action
  • Remove staff from duties
  • Restrict shifts
  • Enforce compliance systems
  • Audit staff performance
  • Monitor folders, CRM, and records

11.Fairness & Professionalism
All enforcement will be:
  • Consistent
  • Proportionate
  • Professional
  • Respectful
  • Documented
  • Fair across all staff

12.Staff Responsibility
By working for the organisation, staff agree to:
